The problem

Great Printing Starts Long Before the Press Runs.

Most print problems are visible well before production. They show up at intake, in the file, and in the emails that go back and forth about both. When those early steps rely on memory and improvised explanations, the same issues repeat.

  • Intake

Customer artwork arrives without a finished size, quantity, stock, or finishing details, so someone has to chase the basics before any real work starts.

  • Bleed

Bleed and safe areas are misunderstood. Backgrounds stop at the trim, and text sits right on the cut line.

  • Resolution

Images look fine on screen but are too low-resolution once they're placed at final size.

  • Revisions

Artwork needs changes, and the customer needs instructions they can actually follow.

  • Specs

Requirements change from job to job, printer to printer, and substrate to substrate. There is no single rule that fits every product.

  • Training

Staff explain the same technical concepts over and over, each a little differently.

  • Proofing

Proof rounds and unclear approvals add days to jobs that were otherwise ready to run.

The method

Stop Starting Every Print Job From Scratch.

Structured prompts give every job the same starting point. You describe the work, supply your printer's actual requirements, and get back checklists, briefs and customer messages in a consistent format. Then you verify the real file with real tools.

    Your team

A prompt can't inspect a file. AI is good at specifying, explaining, planning and drafting. It cannot see inside a PDF, measure ink coverage or confirm that a font is embedded. Every prompt in the Toolkit is written to flag what it can't confirm, and to send the final check to your preflight tools (Acrobat Preflight, PitStop, your RIP or your prepress workflow).

See the difference

From a vague request to a prompt you can use.

Pick a product. On the left is how most people ask. On the right is how the Toolkit teaches you to ask: specific sizes, printer requirements as placeholders, a defined checklist, and a clear limit on what AI can claim.

Basic request

What it leaves out
    Improved prompt

    Specific

States the product, size and requirements instead of leaving AI to guess.

    Useful

Asks for a structured checklist you can work through and hand to someone else.

    Verifiable

Tells AI to flag gaps and never to call a file print-ready on its own.

Example prompts only. This demonstration does not inspect any file. Values shown (such as 0.125 in bleed) are common examples; bracketed placeholders are where your printer's own requirements go.

    What's inside the $29 Toolkit

A working reference for the production desk.

Organized the way print work moves, from setup to the customer's inbox. Every prompt explains when to use it, uses editable placeholders for your printer's requirements, and tells you what to check before you rely on the answer.

    4. Placeholders. Where your printer's bleed, PPI, color and export rules go.
    5. Check before you rely on it. What still needs a human or a preflight tool.

    Ch 07 · Intake

    Missing-spec intake questions

Use when a customer sends artwork or a quote request with key details missing.

I'm quoting a print job. The customer has supplied: [WHAT THEY SENT]. Write a short, friendly list of questions to collect what's missing: finished size, quantity, stock, sides, color, finishing, bleed, deadline and proof method. Group the questions so the customer can answer in one reply, and skip anything they already provided.

Check: remove questions your shop answers by default.

    Ch 05 · Revisions

    Clear artwork revision request

Use after preflight or a visual check, when the customer needs to fix their own file.

Turn my notes into a clear artwork revision request for the customer. Notes: [YOUR PREFLIGHT NOTES]. For each issue, state what was found, why it affects the printed result, and exactly what change is needed. Use plain language, explain any technical term in a short phrase, and end with how to resend the file: [FILE SUBMISSION INSTRUCTIONS].

Check: the issues come from your inspection, not from AI.

    Ch 03 · Resolution

    Effective PPI explainer

Use when a customer's image is too small for the size they want printed.

Explain effective resolution to a customer. Their image is [PIXEL WIDTH] × [PIXEL HEIGHT] pixels and will print at [PRINT WIDTH] × [PRINT HEIGHT] inches. Show the effective PPI calculation (pixels divided by inches), compare it with our requirement of [REQUIRED PPI] for this product, and suggest practical options if it falls short. Keep it under 150 words and avoid jargon.

Check: confirm the division yourself before sending.

    Ch 06 · Proofing

    Proof approval message

Use when sending a proof and you need an approval that is clear and on record.

Draft a proof approval message for [JOB NAME]. List what the customer should check: spelling, phone numbers and URLs, dimensions, folds, quantities and finishing. Explain that on-screen color is an approximation of the printed result. Ask for written approval or a list of changes, and note that production starts after approval per [YOUR PROOF POLICY].

Check: match the wording to your written proof policy.

    Before and after

The same job, written two ways.

Three everyday documents from a print shop. The before versions are typical. The after versions show the kind of output the Toolkit prompts are built to produce, with your shop's details filled in and reviewed by you.

    Correction email to revision request

    Ch 05 · Revisions
    Before
Your file isn't print ready. There's no bleed, the images are low res and it's RGB. Please fix and resend.
    After
Hi Dana, thanks for sending the flyer. We found three things to adjust before we can print it:

    1. Background stops at the edge. Please extend it 0.125 in past each edge (bleed), so no white line shows after cutting.
    2. The photo is 640 px wide but prints 8 in wide, about 80 PPI. We need at least [PPI]. A larger original from your photographer would fix this.
    3. The file is in RGB. We'll convert it to CMYK; some bright colors may shift slightly, and we'll show you on the proof.

Please resend through [UPLOAD LINK]. Questions are welcome, just reply here.

    Questions

    Frequently asked questions

Do I need to know how to use AI?

No. If you can type a question into a chat window, you can use the Toolkit. Each prompt is ready to copy, and the placeholders show exactly what to fill in. The Academy covers the fundamentals in more depth if you want them.

Does this work with ChatGPT and other AI assistants?

Yes. The prompts are plain text and work with general-purpose assistants such as ChatGPT, Claude, Gemini and Microsoft Copilot. Results vary between tools and versions, so review what you get back.

Can AI automatically make my artwork print-ready?

No, and the Toolkit never claims it can. A text prompt can help you specify requirements, explain problems, plan corrections and build checklists. Confirming that a file is ready to print requires inspecting the actual file in design, preflight and prepress tools, and approving a proof.

Are the bleed specifications the same for every printer?

No. 0.125 in (about 3 mm) is common for many sheet-fed products, but bleed, safe area, resolution and color requirements vary by printer, product, substrate, finishing and equipment. Wide-format, labels and packaging often follow different rules. That's why the prompts use placeholders for your printer's actual specs.

Will this replace my prepress software?

No. It works alongside it. Use the prompts to prepare jobs, write checklists and communicate findings. Use your preflight and prepress software to verify the file.

Can I use the prompts for customer artwork?

Yes. Many prompts are written for exactly that: intake, revision requests and proof approvals. Before pasting customer files or personal details into an AI tool, check your customer agreements and the tool's data and privacy settings.

What is included in the $29 PDF?

Nine chapters of print-production prompts (setup and specs, bleed and trim, resolution, color and PDF export, revisions, preflight and proofing, customer communication, product-specific prompts and shop operations) plus a bonus chapter of everyday business prompts. Each prompt includes its purpose, when to use it, placeholders and what to check.

What does the $97 annual subscription include?

Access to the Academy's video training, guided demonstrations, templates, workflows and case studies for as long as your subscription is active, including course updates released during that time.

Can I cancel my annual subscription?

    Full billing terms: Subscription Terms.

Is this useful for small print shops?

Yes. Small shops often have one or two people handling intake, prepress and customer service at once. Ready-made prompts and checklists help keep that work consistent without adding staff or software.
